Managing your Integrations (V2)

In YouCanBookMe V2, integrations are divided into two levels: org-level integrations (managed by an admin for the whole organization) and user-level integrations (managed by each individual team member for their own account). This separation gives admins control over shared business tools while allowing individuals to manage their own personal connections.

Available on: All plans (specific integrations vary by plan)

Org-level integrations

Org-level integrations are managed by an Account Owner or Admin in Org Settings > Apps. These integrations apply to your entire YouCanBookMe organization:

  • Stripe — connect Stripe to take credit card payments on your booking pages.

  • Zapier — pass booking data to over 7,000 other applications via automated workflows.

  • HubSpot — send booking data to your HubSpot CRM automatically.

  • Google Analytics — track traffic sources for your booking pages.

  • Meta Pixel — track conversions from Facebook/Instagram advertising.

  • LinkedIn Insight Tag — track LinkedIn ad conversions.

Only one connection per service can be set at the org level. Org admins manage these connections on behalf of the whole team.

User-level integrations

User-level integrations are managed by each team member individually in their own User Profile > Integrations. These apply only to that person's bookings:

  • Calendar accounts — connect Google or Outlook calendars. Each team member connects their own calendar(s) for availability checking and booking creation.

  • Zoom — each team member connects their own Zoom account to generate unique Zoom meeting links for their bookings.

  • Gmail — connect Gmail to send booking notification emails from your own Gmail address, improving deliverability.

  • Outlook — connect Outlook to send booking notification emails from your own Microsoft address, improving deliverability.

💡 Team members must set up their own user-level integrations. Admins cannot connect Zoom or calendar accounts on behalf of other team members.

Add a new integration

For org-level integrations: go to Org Settings > Apps, find the service you want to connect, and click Connect. Follow the authentication prompts for that service.

For user-level integrations: go to User Profile > Integrations, find the service, and click Connect.

Remove an integration

To disconnect an integration, go to the relevant Integrations page (Org Settings > Integrations or User Profile > Integrations), find the connected service, click the three dots, Disconnect.

Note: if you disconnect a calendar account that is linked to active booking pages, those booking pages will stop working. You will need to link a different calendar to those booking pages or take them offline.

Re-authorize an integration

If you have changed your password or updated security settings in a connected service, you may need to re-authorize the connection:

  • Go to the relevant Integrations page.

  • Find the integration and click the three-dot menu.

  • Select Re-authorize and follow the prompts.

💡 Zoom issue? If bookers see the message "the meeting organizer needs to complete their setup process," go to User Profile > Integrations and re-authorize your Zoom connection.
