Creating & Using Your User Profile (V2)
Your User Profile is the source of truth for your availability. It holds the calendars (both work and personal) that you want YCBM to check for your free times, your working hours, and your preferred meeting location. When the User Profile is added to a booking page, it automatically imports those preferences to the page, all in one step.
User Profiles are available on the latest version of YCBM (V2), released in September 2026. You can check which version you are on by looking at the footer of your account.
When you create an account, you'll be automatically walked through the steps of getting your User Profile set up. You can add
- your name, email and phone number to be used for notifications
- a picture or logo that will appear on booking pages that you are a member of
- your preferred calendars to check for availability
- your preferred online meeting tool (Zoom, Google Meet, MS Teams)
- your preferred in-person location (if you have one)
- your working hours
You can make changes to your User Profile at any time by heading to your Account settings / My profile. Or just click here. There are different sections for details, your working hours and calendar connections.
Using User Profiles
When the User Profile is set up and online, you or your account Admin will be able to add it to any booking page on the account by selecting Add Team Members in the Participants section of the settings. Search for the name in the text box and click to add.
Adding a User Profile to a booking page automatically imports all the preferences from the User Profile onto the booking page.
Updating User Profiles
If you need to make any changes to your User Profile, head to your Account Settings > My Profile (or click here). Any updates you make to your User Profile will automatically update to all the booking pages that your User Profile is connected to.
User Profiles for Teams
Every team member in your YCBM organization will be asked to set up their own User Profile when they create their account. They will each set their availability and location preferences.
When they are set up, just select the team member from the Add Team Members in the Participants section of the booking page. This will automatically import all those preferences onto the page. That means a team member can link to more than one calendar for availability on any kind of booking page: whether it's an individual booking page for 1-1s, a round robin booking page for multiple team members, or a mutual availability page for meetings with more than one host.
If the working hours for each team member is different, we will show the correct availability for each team member individually, specific to their time zone.
FAQs
Why have you changed from the old way of linking calendars?
For longtime YCBM users, this is a change from the way you previously set up your booking pages. Originally, you would link a specific calendar directly to the booking page. Adding, updating, and deleting calendars from every booking page on an account was a very manual process. It could be confusing trying to find the correct calendar from a long list of team members' calendars. It also created limitations on our reporting and analytics.
User Profiles solves all these problems because each user on an account gets to set exactly the calendars, working hours and online meeting tools they prefer. Admins no longer need to choose. If something changes, you just need to update it in the User Profile, and all of your booking pages will automatically reflect the new preferences. It's easier to add and remove team members from a booking page, and it allows us to give you more information about who has been booked in the Analytics section of your account.
Another benefit is that team members can now link to more than one calendar on a Team page.
How many calendars can I connect to a User Profile?
Your User Profile stores all your preferences about which calendars (work and personal) you want YCBM to scan for availability, so you'll never be double booked.
You can connect as many calendars as your subscription allows:

What happens if I need to link different calendars to my booking pages? Can I have more than one User Profile?
Your User Profile holds preferences for your availability. It isn't yet possible to have more than one User Profile per seat on an account, but there are a few ways to add different availability to different booking pages, depending on your use case:
- Resources - Resource have their own calendar; you can set different availability if you operate out of multiple locations, or because you are scheduling non-human resources.
- Appointment Types - Appointment Types have their own availability; you can have different times for different services you offer
- Team Management - if you need different availability because you have multiple people on your team, select our Team plan and let all your team members create their own User Profile
