Share your unique video conferencing link (V2)
YouCanBookMe integrates with Zoom, Google Meet, and Microsoft Teams to generate a unique meeting link for each booking. In YouCanBookMe V2, video conferencing is set up in your User Profile rather than on each individual booking page.
Available on: All plans
Set up video conferencing in User Profile
To configure your video conferencing:
Click your profile avatar and select Account.
Go to Profile > Video Conferencing.
From here you can select your preferred video conferencing provider:
Google Meet — automatically available if you have a Google calendar linked to your account. No additional integration step is needed.
Zoom — click Connect under Zoom to link your Zoom account. Once connected, YouCanBookMe will generate a unique Zoom link for each booking.
Microsoft Teams — automatically available if you have a Microsoft/Outlook calendar linked to your account.
💡 Each team member sets up their own video conferencing in their own User Profile. For team booking pages, the video link used will be that of the team member designated as the host for that booking.
Control which video conferencing is used on a booking page
The Appointment Type determines which video conferencing option is used for bookings. To configure this:
Go to Org Settings > Appointment Types and open the relevant Appointment Type.
In the Location section, select Use host's video conferencing.
When a booking is made, YouCanBookMe will automatically use whichever provider the host has connected — Google Meet for Google calendar users, Zoom if Zoom is integrated, or Microsoft Teams for Outlook users.
Add the unique meeting link to your calendar event
The unique video link is automatically added to the calendar event location field when you use the video conferencing location option. No additional shorthand codes are needed in the calendar event itself.
To also display the link in the calendar event description, use the following shorthand codes in your Calendar Events notification:
{LOCATION} — this will automatically add the link to the video conferencing location.
Add the unique meeting link to confirmation and reminder emails
Include the meeting link in emails to the booker using these shorthand codes in your notification templates:
{LOCATION} — this will automatically add the link to the video conferencing location.
Add the unique meeting link to SMS reminders
In SMS messages, use the following shorthand codes. These render as plain text links in the SMS (the SMS app on the recipient's phone will hyperlink them automatically):
{LOCATION} — this will automatically add the link to the video conferencing location.
