Setting up Availability Using Repeating and Calendar Managed Availability (V2)

Your availability in YouCanBookMe is configured in your User Profile, not on each individual booking page. Set it once and it automatically applies to every booking page you are a participant on. This article walks you through the two availability setup options.

Getting to your availability settings

  1. Click your name or avatar in the top navigation and select Account.

  2. Select Working Hours to access your availability settings.

Option 1: Repeating Availability

Repeating Availability is ideal if you have consistent working hours week to week and want to fill those hours with bookings. Set your standard days and times once, and YouCanBookMe will offer those slots — minus any busy events on your linked calendar.

  1. Under Working Hours, make sure Repeating Availability is selected.

  2. Hover over a time and click edit.

  3. Check the days you work and uncheck any days you never take bookings.

  4. Set your start and end time for each working day, you can also add intervals in the day by clicking on the + sign. Your timezone is automatically detected

YouCanBookMe will scan your linked calendar during your set hours and display any slot where it does not find a conflicting busy event. To block off time within your working hours — such as a lunch break or a team meeting — simply add a busy event to your linked calendar.

Option 2: Flexible (Calendar Managed Availability)

Calendar Managed Availability gives you fine-grained, week-by-week control over your bookable slots. Instead of setting fixed hours in YouCanBookMe, you add events to your linked calendar on the days and times you want to be available — using a keyword phrase that YouCanBookMe recognises.

This option is recommended if you work a non-standard schedule, want to offer only specific start times, or want to adjust your availability simply by editing your calendar.

  1. Under Working Hours, select Flexible.

  2. Click get started.

  3. Create a key phrase. This is the title you will use for your availability events in your calendar, for example: "Open for bookings". This phrase needs to be unique so when YCBM is looking for it in your calendar, it won't pick up any unintended slots.

  4. Click Save

  5. Open your linked calendar and create events for the times you want to be available for bookings. Give each event your key phrase as the title, and set the status to Free (not Busy). You will only see availability on your booking page when these events are added.

Managing your Calendar Managed Availability

  • Need to make a last minute change? Simply drag your availability event to a different time or date in the calendar. Your availability in YCBM will automatically sync to the new times.

  • Taking a vacation? Delete the availability event from your calendar — that time will no longer be available for booking.

  • Want a mid-day break? Add two separate Calendar Managed Availability events with a gap in between.

  • Need to add a slot? Create a new calendar event with your key phrase on the relevant day and time.

  • Want availability all day? Add an all-day event with your key phrase — your full working hours for that day will display as available.

  • Want to block a slot within an availability block? Add a busy event — it will prevent bookings during that time even within your Calendar Managed Availability window.

For teams: each person sets their own availability

Each team member sets up their availability in their own User Profile. Admins do not need to configure availability on behalf of team members — each person is responsible for keeping their own working hours and calendar current.

Team admins can view (but not edit) each member's availability by going to  the Members menu in the top navigation and opening a team member's profile by clicking their name.
