Manage Team Members on your account (V2)

Adding and removing team members, adjusting roles, and managing account access are all handled from the Members menu. Both Account Owners and Administrators can manage team members.

Plan availability: This feature is available on Teams plan.

Add members to your team

  1. Go to Members in the top navigation. Click Invite members.

  2. Enter the email addresses of the people you want to invite.

  3. Select their initial role: Administrator, Editor, or Contributor.

  4. Opt to automatically create a branded booking page based on your org template for each new team member

  5. Click Send invitations. They will receive an email with a link to accept.

When a new team member accepts their invitation, they are guided through a setup wizard that will help them create their account and set up their User Profile. They will connect their calendar, set their working hours, timezone, and video conferencing preference. Once complete, they are ready to be added to booking pages.

Team members shown with a Pending status have been invited but have not yet accepted.

Resend an invitation

If a team member has not accepted their invitation, open their record in Members > Invites and click the three dots next to the team member Resend invitation.

Remove members from your team

  1. Go to Members.

  2. Find the team member and click the three-dot menu next to their name.

  3. Select Delete member.

Removing a member unlinks their User Profile from all booking pages they were part of. Their booking history remains in your account's booking activity log. Existing bookings they were assigned to are not cancelled.

Deactivate a team member

Deactivating a member is a softer alternative to removing them.  A deactivated member stays in your account and their booking history is preserved, but they cannot be added to new booking pages and will not appear as available for new bookings.

Deactivating a team member will remove them from all booking pages.

Deactivating a team member reduces the number of team members in your subscription.

To deactivate: In Members Click the three-dot menu next to their name and select Deactivate member. To reactivate, click Activate member.

Set a team member offline

Setting a member offline stops new bookings across all their booking pages immediately, without removing them from the account or affecting existing bookings. This is useful for short-term absences, holiday cover, or when someone is temporarily unavailable.

When you set them back online, they will automatically be included in the team selections again.

To set a member offline: in Members Click the three-dot menu next to their name and select Set user offline. To make them available again, select Set user online to set them back to Online.

Change team member roles

Go to Members, click on a team member's role, and select their new role from the role dropdown. Changes take effect immediately.

See YouCanBookMe User Roles for a full description of what each role can and cannot do.

Bulk actions

To perform an action on multiple team members at once, tick the checkboxes next to their names in the Members list, then use the Bulk actions menu (three-dot menu at the top of the section) to:

  • Change role for all selected members

  • Activate or deactivate selected members

  • Delete selected members

Managing your subscription

Your subscription cost is based on the number of seats (team members) on your account. Go to Billing to view your current seat count and to add or remove seats as your team changes.
